What does managing a commercial property involve?
Managing a commercial property covers three areas: the commercial side with leases, service charges and reporting; the technical side with statutory inspections, maintenance, refurbishment and warranties; and the infrastructural side with cleaning, caretaking, security and outdoor areas. Unlike residential tenancies, commercial leases come with few protective rules: what applies is what the lease says. That is why every takeover at Verto starts with the contract file.

What we manage
From office tower to hall. Size and use determine the staffing: at least two certified property managers, more for large properties, plus the technical team.
Office buildings and towers
Multi-tenant buildings with space allocation, vacancy management and building services that need continuous inspection. Our technical team comes from operating the ECB and DZ BANK towers in Frankfurt.
Factory and logistics halls
Halls with office wing, loading docks, gates and sprinkler systems. Inspection duties for gates, racking and fire safety, maintenance of roof, floor slab and yard.
Fire stations with residential units
Special-purpose buildings with vehicle halls, workshops and apartments in one property. Two types of use, two billing logics, one contact.
Mixed-use buildings
Retail, medical practices or restaurants on the ground floor, apartments above. We keep commercial and residential tenancy law cleanly apart, from service charges to rent increases.
New builds in the warranty period
The clock starts with the acceptance. We take over acceptance reports and defect lists and follow every item until it is fixed and signed off.
Commercial condominium associations
Associations of office and retail units: meetings, resolutions and accounts handled by managers certified under §26a WEG, including mixed declarations of division.
Warranty tracking
For new builds the clock starts on the day of acceptance
Building defects become time-barred after five years under the BGB, after four years under VOB/B contracts, in each case from acceptance. Whatever has not been notified by then is paid for by the owner. For every new build we keep a deadline register per trade and contractor and walk the whole building again in good time before expiry.
- Acceptance reports, defect lists and the contractor register are recorded at takeover, including guarantees and retentions.
- Deadline register per trade and contractor: shell, roof, facade, windows, building services, lift, outdoor areas, with reminders well before expiry.
- Warranty inspection by our technical team, every defect documented with a photo and location.
- Written notice of defects to the contractor. Under VOB/B contracts this restarts the period for the notified defect (§ 13 (5) VOB/B).
- Follow-up until the defect is remedied and the repair signed off. Guarantees are released only after that.
- Status of all open defects in the portal, for owners, developers and advisory boards.
Technical operation
Operator duties and maintenance from one team
Whoever operates a commercial property is liable for the safety of its systems. We take over the operator duties on the owner's behalf, schedule every inspection and file the proof.

Inspections that must not be left undone
Every safety-relevant system has an inspection interval. We keep them in the deadline register, commission the expert or maintenance firm and file the report in the portal.
- Lifts: recurring inspection under the Industrial Safety Ordinance (BetrSichV)
- Fire safety: fire alarm system, smoke and heat extraction, extinguishers, sprinklers, fire doors
- Ventilation and air conditioning: hygiene inspection of HVAC systems
- Electrical: inspection of fixed installations under DGUV Regulation 3
- Drinking water: legionella testing under the Drinking Water Ordinance
- Gates, doors, racking, emergency lighting and lightning protection at their intervals
Maintenance and refurbishment
A multi-year plan instead of repairs on call
For every property we carry out a technical condition survey and derive a maintenance plan with priorities and a cost frame. Larger measures are tendered, quotes obtained, and the works supervised through to acceptance.

Commercial management
Commercial leases and service charges per contract
Commercial leases enjoy freedom of contract. Which costs can be passed on, which index or stepped-rent clause applies and which options the tenant can exercise is set by the lease, not by statute. We read every lease at takeover and manage the deadlines.

Commercial tenants expect a contact who can take decisions. Your property manager is reachable for tenants, resolves faults with the technical team and keeps you informed about everything that touches the lease.

Frequently asked questions about commercial property management
Costs, warranties, statutory inspections and service charges for commercial property.
We price commercial property individually, because use, number of tenants, building services and inspection scope vary too much for a price per unit. In commercial management a percentage of net rent or a fixed monthly fee per property is customary; we offer both. After an inspection and a look at the leases we quote a fixed price and a written list of what is not included, for example site supervision on larger refurbishments.

Smaller office or retail units inside a residential building are handled within our HOA or rental management. Our technical team comes from operating the three ECB towers and the four DZ BANK towers in Frankfurt.
After a new building is accepted, every contractor is liable for defects in their trade for a set period. Warranty tracking means knowing those periods per trade, inspecting the whole building again in good time before expiry, notifying defects in writing and following the repair until it is signed off. Guarantees and retentions are released only when nothing is outstanding. Miss it and the owner pays for the roof, facade or building services later.
Under the German Civil Code (BGB) the limitation period for building defects is five years from acceptance (§ 634a BGB). Where the VOB/B has been validly agreed it is four years (§ 13 VOB/B); for parts of mechanical and electrical systems without a maintenance contract with the contractor only two years. Under VOB/B a written notice of defects restarts a two-year period for the notified defect. That is why we notify in writing and with proof of receipt, never by phone.
The operator of a commercial property has to have safety-relevant systems inspected at recurring intervals and keep proof: lifts under the Industrial Safety Ordinance, fire alarm systems, smoke and heat extraction, extinguishers, sprinklers and fire doors, HVAC systems, fixed electrical installations under DGUV Regulation 3, drinking water under the Drinking Water Ordinance, plus gates, doors, racking, emergency lighting and lightning protection. Intervals differ by system and federal state. We keep them in a deadline register, commission the inspection and file the certificates in the portal.
For residential tenancies the Operating Costs Ordinance limits what can be passed on; management costs and maintenance are excluded. Commercial leases enjoy freedom of contract: management costs, maintenance of common areas or insurance can be passed on if the lease says so clearly. The twelve-month billing deadline of § 556 BGB does not apply directly to commercial leases; we meet it anyway. At takeover we read every lease and fix the allocation keys per tenant.
Yes. Fire stations with residential units, mixed-use buildings and mixed condominium associations are among our properties. The apartments are subject to the rent cap, the capping limit and the Operating Costs Ordinance, the commercial space to its lease. We keep both separate in billing and in the deadline register, with the same contact for the whole building.
