HOA management (Homeowner Association) is the professional administration of multi-family buildings with multiple owners. The manager takes care of common property: stairwell, roof, facade, heating system, and outdoor areas. They organize owner meetings, prepare annual statements, manage reserves, and coordinate maintenance.
HOA management costs at Verto start from €29 per unit per month. The exact price depends on factors such as property size, location, condition, and complexity. We create transparent offers without hidden costs. Compared to budget providers, we offer significantly more service and faster response times.
The HOA manager handles: convening and conducting owner meetings, preparation of annual statements and business plans, management of maintenance reserves, coordination of repairs and maintenance, communication with owners, contract management (insurance, caretaker, etc.), dunning for arrears, and implementation of resolutions.
At least once a year, the regular owner meeting takes place – usually in the first half of the year after completion of the annual statement. For urgent matters (major renovations, manager change), extraordinary meetings can be convened. Verto prepares all meetings professionally and creates legally compliant minutes.
Maintenance fees are paid monthly by HOA owners to the management for operating costs of common property plus reserve contributions. Utility costs are paid by tenants to the landlord. For rented condominiums, the owner can pass on part of the maintenance fees as utility costs to the tenant – but not the reserve contributions and management fees.
For water damage to common property (risers, roof, etc.), Verto coordinates immediately: emergency service commissioning, leak detection, drying, and renovation. The building insurance is notified and the damage documented. Owners receive timely status updates. For damage to private property, we assist with processing through household insurance.
The maintenance reserve is the HOA's savings account for future repairs and renovations. Each owner pays a monthly contribution through their maintenance fees. Verto plans the reserve with foresight: When are which measures due? Is the reserve sufficient? We create long-term maintenance plans and avoid nasty surprises through special assessments.
HOA resolutions are passed at the owner meeting and are binding for all owners. Verto records resolutions in a legally compliant manner and implements them promptly: obtaining quotes, commissioning contractors, monitoring execution. The status of each resolution is viewable in the owner portal – no resolution is left behind.
Yes, the HOA can dismiss the manager at any time – even without good cause, but in compliance with the notice period (usually 3-6 months). A majority resolution at the owner meeting is required for dismissal. Verto supports a smooth transition and provides all documents in a structured manner.
Since December 2023, HOA managers must be certified according to §26a WEG. The certification proves expertise in legal, commercial, and technical areas of HOA management. All Verto managers are certified and continue their education regularly – that's a given for us.
